What we hold, why, and how to make it stop
heatmark is a trading name of Birkeby Ltd, registered in England and Wales, company number 17520256, registered office 128 City Road, London, EC1V 2NX. We decide what personal data we use and how, so we are the controller. Contact us at contact@heatmarkapp.co.uk.
Installers and other businesses we contact
What we hold. Your business name, Companies House number, business email address, phone number and website, and your F-Gas registration. We take these from the REFCOM F-Gas register, Companies House and your own website. If the email address we use names a person, that is personal data, and this notice covers it.
Why, and on what basis. To offer our service to your business. Our lawful basis is legitimate interests: telling installers about a service built for them, at their business address. Our outreach emails come from an address ending @heatmarkapp.co.uk.
The link in our first email. It carries a short code for your business, so we can see whether someone there opened it and which of our pages they looked at. We record the code, the pages, the time and the country. We use no cookie for this, store nothing on your device and don't record your IP address. We keep it as long as the rest of your business's details.
How long. Until you ask us to stop, or two years after we last heard from each other, whichever comes first.
Stopping it. Reply “no thanks” to any email and we stop at once. Your address then goes on a permanent suppression list, which is the only way we can make sure we never contact you again.
We don't sell your details or share them with anyone else.
Homeowners we write to
What we use. Public data about the building, never about the people in it: the Energy Performance Certificate register, Census 2021 statistics for the area, the English Indices of Deprivation, and the lists of listed buildings and conservation areas. We hold no names and use no electoral roll. Every letter is addressed to “The Homeowner”.
Addresses. They come from licensed address data and are used only to post the letter. We never give them to installers. Every mailing is screened against the Mailing Preference Service.
Why, and on what basis. To tell homeowners about heating and cooling from a local installer. Our lawful basis is legitimate interests.
Stopping it. Use the opt-out on the letter, or contact us at contact@heatmarkapp.co.uk, and we will never write to your home again.
If you reply to a letter. Your name, phone number and best time to call go only to the installer named on the reply form, and only if you tick the box agreeing to it.
Everyone who visits this site
Counting visits. For each page you see, we add one to a count for that day and for where your visit came from: the website that linked here (such as a search engine), a campaign tag in the link, or none. We keep only those counts. We use no cookie for this, store nothing on your device and don't record your IP address, your browser or the pages of the site that sent you.
Your rights
You can ask us for a copy of what we hold about you, to correct it, or to delete it, and you can object to our using it at any time. Contact us at contact@heatmarkapp.co.uk. If you're not happy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
